Resolve queues and service access on the same plan
Restroom lines should not consume an entrance, vendor queue or required access lane. Ask about a stable position with a usable guest route and a practical service-vehicle approach. Request accessible options based on the whole route, not just the unit. If a city approval is needed for the event, keep the equipment layout consistent with the reviewed plan.
Give one person responsibility for changes
Identify who can communicate if attendance increases, an equipment position becomes blocked or the event runs longer. Include setup and teardown crews in the occupied period. Discuss handwashing, replenishment and cleaning frequency before finalizing the equipment request. A service visit needs a workable window after vendors and other rentals have arrived, not merely an empty-site plan from the day before.
Compare the approved layout and service period
Ask which positions, delivery and collection windows, cleaning visits and handwashing items the quote covers. Explain any restricted access after setup. Clarify the cost of added service or changed locations before other event equipment makes those changes difficult.
