Decide who the arrangement serves
A staff-only position behind a work barrier may be unsuitable for visitors. Review the intended users, wayfinding, waiting area, accessible approach, and handwashing with the host. Keep the walking route clear of booth deliveries and dismantling operations. The venue manager should approve the actual footprint, not merely the type of equipment requested.
Protect maintenance during a tight changeover
Identify when the service vehicle can enter between other contractors. Preserve that access after barriers or displays are installed. Ask how cleaning, pumping, consumables, and handwashing replenishment fit the event schedule. If teardown extends, coordinate removal with the last occupied work period rather than a public closing time.
Compare the host's full occupancy window
Request delivery and pickup timing, planned visits, handwashing, accessible equipment, and change terms in writing. Include delayed handover or an additional occupied shift in the discussion.
