Include people who work outside public hours
Vendors and volunteers can use the venue before opening and after visitors depart. Tell the reviewer those hours and whether indoor restrooms will be unlocked during them. Discuss handwashing, accessible-use needs, and who monitors supplies. If attendance concentrates around a performance or other shared activity, describe that peak instead of only giving a total for the day.
Preserve access through temporary event boundaries
Explain barriers, reserved parking, and the times vehicles can enter the grounds. Agree how any planned cleaning visit fits that schedule. Name a contact who can resolve a locked access point without requiring the driver to seek permission from several vendors. Plan removal with the grounds manager so equipment does not remain after the site returns to its normal use.
Compare the venue's full rental window
Ask whether delivery, removal, planned service, handwashing, and days used by setup crews are included. Clarify additional visits and costs if the event or grounds-access period changes.
