Have the sponsor define the delivery arrangements
Ask the responsible installation or project contact which entry process applies to the proposed supplier and service vehicle. Do not assume a visitor's access arrangement covers a commercial delivery or every later visit. Share only ordinary project details in the rental form, such as the delivery address and a contact method; identity documents, credentials and restricted information should use the site's designated channels, not a general sales enquiry.
Match the setup to the people and the working area
Explain whether the toilets are for a temporary crew or an organised gathering, how long people will be present and whether existing facilities remain usable. Discuss standard units first, then accessible facilities, handwashing or a trailer where the setup warrants them. Confirm the intended user route and the authorised position with the site contact before deciding on the equipment mix.
Include repeated maintenance in the access review
Cleaning and removal may occur on different days with a different operational schedule. The arrangements should identify who meets or coordinates the service visit and how changes are communicated. Keep the unit accessible and do not relocate it to another controlled area without discussion. Availability remains subject to a provider accepting the job and the relevant site arrangements being in place.
Make access conditions part of the quote
Describe use, duration and maintenance needs together with any approved delivery constraints. Ask which visits are included and how an amended schedule would affect the arrangement. A quote is not evidence of installation authorisation, procurement approval or an existing government relationship.
