Discuss the walking route from each main activity area, not just the first ceremony location. Ask about accessible equipment, handwashing, and enough space for queuing and assistance. Review the layout with the venue manager after seating, catering, and entertainment areas are defined. Do not assume the most visually discreet position is also practical to use or service.
Include the venue's overnight and next-day arrangements
Tell the provider if equipment remains after the public celebration and who controls access then. Clarify any maintenance needed between activities or days. Keep the collection approach clear when decorations and hired equipment are removed. One designated contact should communicate schedule changes rather than leaving instructions with several vendors.
Compare the complete venue occupancy
Request delivery, unit options, handwashing, planned cleaning, and collection. Clarify extended use, added visits, or changed pickup timing if the celebration or next-day cleanup runs longer.
