Match maintenance to actual use
Describe attendance changes, staff time, and any meal breaks or other peak periods. Ask how planned cleaning relates to that schedule and how an additional session would be handled. Arrange guest handwashing and discuss accessible equipment with its walking route. Count indoor facilities only if the organizer knows they will be open to the participants.
Make evening and off-day access workable
A service visit may occur outside the public program. Identify the authorized contact and explain any gate, parking, or access arrangement that changes after business hours. Keep the placement clear of normal deliveries and building users between sessions. Before the last activity, agree who can provide collection access after the program closes.
Compare a complete series of activities
Request the rental period, planned visits, handwashing, delivery, and collection. Clarify added-session, extra-cleaning, and early-removal terms so the program budget reflects its operating pattern.
