Design the route for the people using it
Discuss accessible equipment and the full route from the activity area with the venue manager and provider. Include room for a caregiver to accompany a child or another guest where needed. Keep queues away from check-in tables and vehicle pickup points. A unit's specification alone does not resolve the accessibility of the surrounding site.
Assign responsibility between activity sessions
Identify who checks supplies and who contacts the provider if the operating plan changes. Arrange handwashing independently of drinking-water distribution. If equipment stays for several program days, describe daily hours and request an appropriate maintenance plan. Confirm that a service vehicle can reach the agreed location while other activities are taking place.
Compare the operating-day assumptions
Ask for equipment, handwashing, delivery, collection, and planned maintenance to be itemized. Clarify extra visits and the effect of extending program hours or retaining equipment between sessions.
