Preserve routes for people outside the event
A gathering can occupy a shelter while nearby paths remain open to ordinary park users. Position equipment and queues so they do not take over those routes. Review an accessible approach from parking and the activity area, and ask where the service vehicle may operate. Keep the agreed maintenance space separate from food-vendor loading and guest arrival.
Plan for the volunteers who arrive first and leave last
Setup and cleanup teams may need facilities beyond the public event hours. Include them in the rental schedule and discuss handwashing for the actual activities. Assign someone to check supplies and communicate if attendance changes. For a private renovation, explain how long indoor facilities will be unavailable and who confirms that the temporary equipment is no longer needed.
Compare the full gathering and restoration period
Ask for delivery, collection, cleaning, supplies and handwashing. Include volunteer setup and cleanup hours and any restricted vehicle access. Clarify extra days or service visits if the event schedule changes, without assuming a shelter reservation includes the rental.
