Evaluate the full route from gathering to unit
A discreet corner is not useful if reaching it requires crossing a steep lawn, steps or a delivery driveway. Walk the approach under the conditions expected during the event, including after dark. Keep doors and queues clear of catering work and vehicle parking. Discuss handwashing placement and who will notice depleted supplies while the organizer is occupied elsewhere.
Keep a maintenance path through the project
For multi-day repair work, landscaping materials and contractor vehicles can gradually block a position that was accessible at delivery. Set aside the servicing approach and show it to each trade. If the property has a gate, coordinate access without relying on a resident always being home. A community facility has its own arrangements; do not transfer a private-property plan to a library or other venue without review.

Explain whether the request serves a short gathering or recurring work shifts. Compare unit type, handwashing, service frequency, transport and the entire onsite period. Mention gates and restricted visit times so each quote is based on a realistic maintenance plan.
