Consider how people move between courts, seating and parking, and leave a clear approach for users who need extra room. Ask the venue manager to review the proposed location and the provider to review delivery access. Both need the same layout, including any temporary fencing.
Give volunteers a simple operating plan
Choose one contact who can unlock gates, inspect the approach and report a need for service. Explain who checks supplies and handwashing during the event. For equipment retained between activity days, discuss servicing at a time that does not conflict with arrivals. Do not move units yourself when the event layout changes; ask the provider how relocation should be handled.
Compare Harrington event service, not just units
Look for the rental duration, handwashing, accessible options, replenishment and service visits in the written scope. Include the periods before and after public opening. If the venue limits truck access to particular times, have that arrangement reflected in the quote before comparing totals.
